Better RFQs make better mechanical tenders.

Supplier prices are only useful when every bidder is pricing a clearly defined and comparable scope. Poor RFQs create false savings, missing items and last-minute tender risk.

Issue packages that suppliers can actually price

A useful RFQ identifies the relevant drawings and specification sections, required equipment or materials, quantities where available, programme constraints, delivery expectations and the exact return date. Ambiguity at enquiry stage usually returns as qualifications later.

Separate the mechanical packages

Plant, pumps, ventilation equipment, ductwork, grilles, controls, insulation, water treatment, commissioning and merchant materials often need different specialist enquiries. Breaking the scope into sensible packages makes coverage easier to track and reduces duplicated or omitted allowances.

Level quotations before selecting a number

The cheapest quotation is not necessarily the lowest final cost. Compare inclusions, exclusions, quantities, technical compliance, delivery, commissioning, controls interfaces and attendance requirements. Normalising those differences gives the estimator a usable tender allowance.

Track gaps and late returns

A tender should show which packages are quoted, budgeted or still outstanding. Where a firm quote is unavailable, the basis of the allowance should be visible so it can be reviewed before submission and handed over if the project is won.
